Role Purpose

The Concierge Manager is the ultimate ambassador of the EssentiaLyfe guest experience. This role goes well beyond traditional concierge duties — it is about anticipating needs, curating unforgettable moments, and ensuring every guest feels like the only guest. From the moment a booking is confirmed to the final farewell, the Concierge Manager is the thread that ties every touchpoint together seamlessly. This role is distinct from our Client Relations team. While Client Relations focuses on the booking journey and property matching, the Concierge Manager takes over from there — managing the on-the-ground experience, coordinating premium services, upselling services as needed, orchestrating events, and ensuring every vendor and partner delivers at the highest level. The ideal candidate is a hospitality-driven professional with an exceptional eye for detail, a passion for luxury service, and the ability to turn extraordinary requests into reality.

Key Responsibilities

Guest Concierge Services

  • Serve as the primary point of contact for guests from booking confirmation through checkout, ensuring a seamless, personalized, and elevated experience at every stage
  • Anticipate and fulfill guest needs before they are expressed — from welcome amenities and property setup preferences to last-minute special requests
  • Coordinate pre-arrival arrangements including property inspections, personalized welcome packages, grocery stocking, transportation, and special setups
  • Provide guests with curated local recommendations for dining, entertainment, wellness, nightlife, and cultural experiences tailored to their preferences
  • Respond to all guest inquiries, requests, and concerns promptly and professionally, maintaining the highest standard of hospitality at all times
  • Handle sensitive or high-profile guest situations with discretion, composure, and white-glove professionalism

Event Vendor & Partner Coordination

  • Build, manage, and maintain a curated network of trusted luxury vendors and service providers including private chefs, transportation services, security, stylists, photographers, florists, and wellness practitioners
  • Coordinate vendor scheduling, arrivals, and on-site delivery to ensure flawless execution for each guest stay or event
  • Continuously evaluate vendor performance and expand the vendor network to meet the evolving needs of EssentiaLyfe’s discerning clientele
  • Serve as the liaison between guests and external service providers, managing all logistics and communication on the guest’s behalf
  • Maintain an up-to-date vendor directory and service catalog for internal use across the EssentiaLyfe team

Event & Experience Planning

  • Plan, coordinate, and oversee bespoke in-property events including private dinners, celebrations, film screenings, wellness retreats, corporate gatherings, and milestone occasions
  • Work closely with guests to understand the vision and intent of each event and translate it into a meticulously executed experience
  • Assist with event logistics including catering, staffing, décor, entertainment, AV, and timeline coordination
  • Collaborate with the different team departments to align concierge services with larger venue bookings and production needs
  • Develop and maintain a library of signature EssentiaLyfe experience packages that can be presented and upsold to guests at booking or upon arrival
  • Ensure all events are executed on time, on budget, and in a manner that exceeds guest expectations

Extended & Specialty Services

  • Oversee and coordinate long-term stay guest services, ensuring extended-stay guests receive consistent, attentive care throughout their entire residency
  • Manage specialty service requests that fall outside the standard booking experience, including property modifications, staffing arrangements, pet accommodations, medical or accessibility needs, and other bespoke requirements
  • Coordinate property management services as needed during guest stays, including housekeeping scheduling, maintenance requests, and property care oversight
  • Facilitate transportation arrangements including private car services, helicopter transfers, yacht charters, and airport logistics
  • Source and manage lifestyle services such as personal shopping, wardrobe styling, childcare, fitness training, and private security upon guest request

Reporting & Service Excellence

  • Track and document all guest preferences, requests, and service interactions to build detailed guest profiles for personalized future stays
  • Report on concierge service performance, guest satisfaction scores, and vendor feedback to the Director of Client Services
  • Identify trends in guest needs and proactively recommend new service offerings or enhancements to the EssentiaLyfe concierge program
  • Collaborate with the Client Relations team to ensure a warm and informed handoff from booking to the concierge experience
  • Uphold EssentiaLyfe’s standards of discretion, integrity, and excellence in every guest and vendor interaction

  • Exceptional interpersonal and relationship-building skills — instinctively warm, professional, and at ease with high-net-worth and high-profile guests
  • Outstanding verbal and written communication skills with the ability to represent the EssentiaLyfe brand with polish and confidence
  • Deep knowledge of the Los Angeles luxury lifestyle landscape — from fine dining and private entertainment to wellness, nightlife, and cultural experiences
  • Strong organizational and multitasking abilities — able to manage multiple guest requests, vendor relationships, and events simultaneously without compromising quality
  • Calm, composed, and solutions-oriented under pressure — able to handle last-minute changes and high-stakes situations with grace
  • High emotional intelligence (EQ) and a genuine passion for anticipating and exceeding the needs of others
  • Excellent negotiation skills with the ability to secure premium services and preferred rates from luxury vendors
  • Discretion and the ability to maintain strict confidentiality when working with high-profile clientele
  • Creative and resourceful — able to turn unique, unconventional requests into exceptional guest experiences
  • Proficient in Microsoft Office Suite; experience with CRM, hospitality management, or project management tools a plus
  • Flexible and available — understands that luxury hospitality does not always follow a 9-to-5 schedule

Qualification & Experience

  • Bachelor’s degree in Hospitality Management, Event Planning, Business, or a related field preferred
  • Minimum 3–5 years of experience in luxury concierge, hospitality, event planning, or a premium guest services role
  • Prior experience working with high-net-worth individuals, celebrity clientele, or in a five-star hotel, private members club, or luxury rental environment strongly preferred
  • Proven track record of planning and executing high-end private events and bespoke guest experiences
  • Established network of luxury vendors, service providers, and industry contacts in the Los Angeles market is a strong advantage
  • Experience managing multiple client relationships and service requests simultaneously in a fast-paced environment
  • Experience in service-related upselling products
  • Valid driver’s license and reliable personal vehicle required
  • Active LinkedIn profile required
