Role Purpose

The Maintenance Manager is the behind-the-scenes guardian of the EssentiaLyfe property portfolio. This role is responsible for ensuring that every property we represent is maintained to the highest standard of quality, safety, and presentation — before, during, and after every guest stay or event. From conducting thorough property inspections and coordinating timely repairs to developing proactive maintenance schedules that protect homeowner assets, the Maintenance Manager plays a critical role in upholding the trust that both our guests and homeowners place in EssentiaLyfe. The ideal candidate is a detail-oriented, hands-on professional with a deep understanding of luxury property standards, strong vendor relationships, and the ability to respond swiftly and effectively when issues arise.

Key Responsibilities

Property Inspections & Quality Control

  • Conduct thorough post-departure and post checkout cleaning property inspections to ensure every home meets EssentiaLyfe’s luxury presentation and safety standards
  • Document property conditions with detailed written reports and photographic evidence before and after each guest stay or event
  • Identify and flag any property deficiencies, damage, wear, or safety concerns and escalate to the appropriate parties promptly
  • Perform quality control checks on all contracted cleaning, staging, and maintenance work to verify completion and standard before guest arrivals
  • Maintain accurate and up-to-date property condition records for each listing in the EssentiaLyfe portfolio
  • Collaborate with the Homeowner Onboarding team to conduct initial property assessments for new listings joining the platform
  • Ensure all properties consistently meet local safety codes, habitability standards, and EssentiaLyfe’s internal quality benchmarks

Repairs & Maintenance Coordination

  • Serve as the primary point of contact for all property repair and maintenance requests from homeowners, guests, and internal teams
  • Assess, prioritize, and coordinate the timely resolution of maintenance issues — from minor repairs to urgent, time-sensitive emergencies
  • Source, schedule, and oversee qualified contractors, tradespeople, and service technicians to carry out repairs to the required standard
  • Communicate repair status updates clearly and proactively to homeowners, the Operations Manager, and relevant internal teams
  • Review and approve repair invoices, ensuring work quality and pricing are in line with agreed standards and budgets
  • Maintain a detailed maintenance log for each property, tracking all repair history, service dates, and outstanding issues
  • Respond to after-hours maintenance emergencies as needed, ensuring guest safety and property integrity are never compromised
  • Coordinate with the Concierge Manager and Client Relations team to minimize disruption to guest stays when maintenance is required

Preventative Maintenance Planning

  • Develop and implement comprehensive preventative maintenance schedules for each property in the EssentiaLyfe portfolio, covering all major systems including HVAC, plumbing, electrical, pool, landscaping, and appliances
  • Assist in creating property Guest Manual
  • Handle any open maintenance tickets in a timely manor
  • Proactively identify aging systems, recurring issues, or at-risk property features and recommend upgrades or interventions before they become critical
  • Coordinate seasonal property preparation including deep cleans, system checks, weatherproofing, pool openings and closings, and exterior upkeep
  • Track warranty and service agreement timelines for property appliances and systems, ensuring timely servicing and renewals
  • Work closely with homeowners to communicate upcoming maintenance needs, associated costs, and recommended improvements to protect and enhance the value of their property
  • Maintain an organized database of all preventative maintenance schedules, completed service records, and upcoming tasks across the portfolio
  • Identify cost-saving opportunities in maintenance operations without compromising on the quality standards EssentiaLyfe is known for

Reporting & Operations

  • Provide regular maintenance reports to the Operations Manager detailing property conditions, completed work, outstanding issues, and upcoming scheduled maintenance
  • Track and manage maintenance budgets across the portfolio, flagging overspend or unexpected costs in a timely manner
  • Recommend and help implement process improvements that enhance the efficiency, quality, and responsiveness of EssentiaLyfe’s maintenance program
  • Support the claims management process by providing accurate property condition documentation and repair records when needed
  • Uphold EssentiaLyfe’s standards of professionalism, integrity, and excellence in all interactions with homeowners, guests, contractors, and internal team members

Skills & Competencies

  • Strong working knowledge of residential property systems including HVAC, plumbing, electrical, pool maintenance, and general construction
  • Exceptional attention to detail — able to identify quality and safety issues that others might overlook, particularly in a luxury property setting
  • Excellent organizational and time management skills — able to juggle multiple properties, repair timelines, and maintenance schedules simultaneously
  • Strong communication skills — able to clearly convey technical issues and repair plans to homeowners, guests, contractors, and leadership
  • Calm, decisive, and solutions-oriented under pressure — especially when handling urgent or emergency maintenance situations
  • Proven ability to build and manage a reliable network of contractors and service professionals
  • Financially literate — able to review repair quotes, manage budgets, and identify cost-effective solutions without compromising quality
  • High standards of professionalism and discretion when working in or around occupied luxury properties
  • Self-starter with strong initiative and the ability to work independently across multiple locations
  • Proficient in Microsoft Office Suite; experience with property management or maintenance tracking software a plus
  • Flexible and available — understands that property issues do not always arise during business hours

Qualification & Experience

  • Associate’s or Bachelor’s degree in Facilities Management, Construction Management, Property Management, or a related field preferred
  • Minimum 3–5 years of experience in property maintenance, facilities management, or a related role — experience in a luxury residential or hospitality environment strongly preferred
  • Demonstrated experience coordinating and overseeing contractors, vendors, and maintenance teams across multiple properties
  • Working knowledge of local building codes, safety regulations, and habitability standards in the Los Angeles area
  • Proven track record of developing and executing preventative maintenance programs
  • Experience managing maintenance budgets and reviewing contractor invoices and proposals
  • Certifications in relevant trades (HVAC, electrical, plumbing, pool maintenance) are a strong advantage
  • Valid driver’s license and reliable personal vehicle required — regular travel between properties is expected
